Requests to invoices

Where: Insights → Requests to invoices

Insights → Requests to invoices answers "did the requests we received turn into sales?" with your ERP's own invoices. Pick the period of requests (the last 30, 60 or 90 days) and the window an invoice may follow a request in (14, 30 or 60 days).

The tiles at the top count the period's Requests, how many are On an ERP account, how many were Answered on WhatsApp, how many were Followed by an invoice, the amount Invoiced after asking and the Median days to invoice. By channel splits the same figures between WhatsApp, the website and requests your team entered.

Requests lists every request with the buyer, the ERP account it belongs to and how it was matched, whether it was answered and quoted, and its first invoice with the days it took. An invoice counts once: when an account asks twice and is invoiced once, the invoice is credited to the later request. An account that buys every week will show invoices after most of its requests, so read the figures as "invoiced after asking", not as proof that the request caused the sale.

How a request finds its account

  • A request filed on an ERP account is matched on the account.
  • Otherwise the requester's phone number is looked up among your ERP accounts' phones, then their email. A number or email that belongs to exactly one account matches it (by phone or by email); one shared by two accounts is never guessed.
  • Phones and emails come from your ERP's customer sync: each business partner's numbers and email and those of its contact people. From then on, a WhatsApp message from one of those numbers lands on the account straight away instead of creating a customer named by the phone number.
  • When the sync first brings an account's numbers, customers that were created earlier from the same number are folded into the account automatically, as long as they have no logins, orders, invoices, payments, sent quotes or prices of their own.

Answered on WhatsApp counts replies typed on your business phone or in the WhatsApp inbox, and quotes sent on WhatsApp from the platform. Replies typed in the inbox only reach the platform when your WhatsApp gateway forwards the messages you send.

Not matched to an account

Requesters that match no account are listed under Not matched to an account, with their phone and the number of requests. When the name they gave closely resembles an ERP account, it shows under Looks like with a Link button. Linking asks first, then files that requester's requests, chats, leads and contacts under the account and closes the extra customer as merged. A customer with logins, orders, invoices, payments, sent quotes or its own prices is never merged; the message says why.

tip

Most unmatched requesters disappear once your ERP sync sends phone numbers. If one stays, check the number on the business partner in your ERP.
